Software Programmer Task

I want a master spreadsheet which I can add machine defects to for approx. 70 machines. I then want to be able to select approx. 20 of machines per week to repair and I want to be able to generate two page work scopes covering on the first page a detail of the defects machine numbers and dates and times for completion, and the second page I want some photos to be able to be added. This needs to be nearly automatic so I don't spend time designing work scopes every week, I want to be able to generate them and then just review the data and modify if needed. It would also be good for the master spreadsheet to have the ability to mark of the selected defects and confirm if they were repaired or not, and then to keep a record of what has been done and when on each machine.
